Questions How do you keep work and personal projects separate in one Notion workspace?

Curious how people handle having work and personal creative projects in the same Notion workspace without it turning into a disaster. My setup has kind of collapsed into one giant pile where client tasks and personal stuff bleed into each other constantly.

Everything is technically organized but finding anything takes way too much clicking. I have databases for work projects and a separate area for personal things, but they never feel truly separate. The sidebar is always a jumble.

Some people swear by completely different workspaces for work vs. personal, but then you lose the ability to link things across them, which feels like a bigger headache. Others just dump everything into one place with tags or filters doing the heavy lifting.

What actually works for you long term, not just in the first week when everything feels clean and new? Do you keep it all in one workspace with strict naming conventions, or have you found a way to make the sidebar feel less chaotic? Also wondering if anyone uses linked databases in a way that genuinely keeps the two sides from bleeding together, rather than just theoretically separating them.

Questions Can’t add anything to properties

Hello. I’m at a complete dead end. Tried looking it up and no luck. Does anyone know what’s going on here? It does this with seemingly any property. When I try to add something I will type one letter and it completely exits, takes down my keyboard and puts me at the start with nothing added. I dont know if this is a bug or if this is an error on my end.

I made my first sale after months of giving away the free Notion templates and building trust with people( still at the beginning I'm still building my audience across different platforms). About a 20 Days ago. I decided to start adding paid versions alongside some of the free ones. Inside the free version, I put a premium upgrade template like this one " IELTS template " for people who really want to go further. A week after doing that, I got my first sale.

I can't really explain the feeling. Finally, after months of building and giving things away, someone looked at what I made and decided it was worth paying for.

What is the best way to send simple images from the notion database to WhatsApp ?

Just a text message with properties from the table and one picture from a file property. I know that there is a whole process with Make/Zapier and WhatsApp API business, BUT I would gladly prefer a quick hack before going down this whole process of verification.

What would be really nice is to click a button and it simply shares the image on WhatsApp like any other app from the phone actually ...

Questions There's any way to make a button located in a hub page to open a page from a database?

Ex: A page named Personal Hub that shows the daily informations. This page have a filtered view database named Today's Journal showing just the template made by automation (New page journal - everyday) for the current day. But I wanted to change this view to just a button but couldn't find how to do it. It is really possible? I also couldn't find where to do a feedback to ask for this functionality.

Update: Darth_Animation, I'd saw this whole thread and did'nt had unsdestood 'till now. Thank you for the video, I'll do it like that despite not really into doing a new db for it.

Questions need pdfs to auto generate when n8n workflow runs.. whats actually working

been trying to wire n8n so a new notion row becomes a pdf and emails out. sounds simple until you build it

HTTP node keeps choking on auth. airtable path same story, works in testing then dies past like 3 merge fields??

spent two hours on a webhook that returns 200 but the pdf is blank. connector wanted json, i sent form data. cool

girlfriend asked why im on the laptop at midnight. i said "automating invoices" which is the saddest true thing ive said this month

docsautomator and pdfmonkey both want a subscription before you know if nested tables work. not paying to find out my row layout isnt supported

anyone got this running in n8n with notion without a custom backend. what are you using for the pdf step

Does anyone know if there is a way to toggle on and off the AI, just for a short period of time, so I can bounce around in pages faster, when I need to? I did not have this type of performance before I added the AI feature...

Questions Google Drive Connector broke all my links

I don't understand what happened here but all over my Notion instance I'm having the same issue: Google Drive links are being replaced with "Select file to preview" but when I try to select the file, I get a 404 error.

I can't stop Google Drive links from showing up as a "mention" with the Google Drive logo and the title showing unless I actively catch myself adding the link and make sure to select the option to paste just the URL. Everything else will degrade to this.

Questions Is anyone else seeing a crazy amount of console log errors on Notion?

Hey everyone! I was testing out a Fugte embed in Notion and opened DevTools to check on something.

The embed works fine, but the browser console is completely flooded with CSP (Content Security Policy) error blocks and failed telemetry fetches from Notion (exp.notion.com).

I also noticed Notion prints ASCII art hiring logs and an Ivan Zhao quote in the middle of it all 😂

Is this normal behavior for Notion embedded pages or public links, or is it related to something else? I have Notion free tier btw.

Questions I Repositioned my product, now i have users (not many but its a start)!

Been building a Notion tool and want to share a repositioning lesson that might help someone.

I started with "a tool that visualises your Notion workspace as a graph." Technically cool, demoed well, but the value prop was didn't sit well, low uptake and retention — it became apparent the main selling point of seeing your workspace was not the pain point i needed to focus on. Then, i looked at things from a different perspective and tried to understand what do people actual want, what problem am i trying to solve, yes my own problem, but it was a common one. So i changed it to "Notion cleanup tool"  instead.

The unlock was reframing around the outcome: your Notion is a cluttered mess, and this finds the orphaned/stale/duplicate pages and lets you archive them in one click. Same underlying tech (I map the workspace as a graph either way), but now the map is part of the the journey towrds the end goal - the cleanup (the reason to pay). Everything got clearer downstream — the copy, the pricing page, even which features to build next.

A few other things I changed while I was at it:

  • Cut every fake trust signal. stop trying to oversell or overcomplicate, do things simple, people like simplicity. Cut out the crap.
  • Freemium is the trial. Free up to 100 pages gives a taste (their health score) before paying, so I skipped a separate time-boxed trial — especially since a cleanup tool has a "do it once and bounce" churn risk a short trial would amplify.
  • Recurring hook for a one-time-feeling job: a weekly dashboard / health score in your inbox to keep that engagement, and essentially maintain a clean workspace, so it's not just a clean-once purchase.

Genuinely curious how others here handle the feature-vs-outcome repositioning line — where do you draw it before it becomes overpromising? Happy to be DM'd too

Questions Limiting a property's option based on a relation?

Hey all, I'm sure this isn't hard but I just can't seem to figure it out. Assume I have a Meetings database (name, date, client, project, notes), where Client is a (limit 1) relation to a Client database (client name, other details). I also made a Projects database where I can (1 to many) map clients (from the Client database) and projects that apply to that client (projects have a name and other assorted properties) -- something like:

Client Project Project Details
A Alpha 1 lorem ipsum
A Alpha 2 lorem ipsum
B Beta 1 lorem ipsum
B Beta 2 lorem ipsum
C Charlie 1 lorem ipsum

When I enter a new Meeting in the meetings database, i want to select a Client, and then based on that Client selection I want to select a project from only those projects that belong to that client.

I'm sure it's something with relations, filters, filter functions, etc but just can't wrap my head around it. I'd appreciate a brief step by step of how to configure this (or a link to a tutorial that clearly I'm not searching for correctly).

Notion AI I stopped treating meeting recordings as attachments and started treating them as notes

For a while my Notion workspace started filling up with meeting pages that were basically just a voice memo glued underneath a date. I told myself the recording was the documentation. It was not. I never relistened and nobody else on the team could use it.

I started thinking of the recording as the input and the note as the output. For online meetings I open vomo ai in the browser and start recording there. For in-person meetings I use the phone app. Afterward I copy the transcript and action items into Notion and build the page from that. The recording becomes an appendix instead of the whole document.

It also changed how I structure pages. Instead of dumping everything into one block I separate decisions, open questions, and action items with owners. I still check the owners before I share the page, but getting a first draft cuts the time by about half.

For now I still copy and paste into Notion. The extra step is manual, but it lets me decide what belongs in the page instead of dropping a whole transcript into the workspace. The workflow is basically the same whether I started in the browser or on my phone, and I keep the original recording attached in case someone needs to check the wording.

API / Integrations Notion's Capture-Friction Problem & How I Solved It (for me)

Notion is great, but it get's overwhelming fast. Take for example a static to-do list. It's fine for a few items, but the more you start adding to it, the more it compounds.

The first solution to jump to is to start adding tags, categorising things, setting properties etc. but the issue then becomes maintenance. Every time you want to add a new task, you have to fill in all these new fields! Making sure they added to the right area of your increasingly complex system.

All this adds is "capture friction". My lazy brain isn't going to do all that whenever I want to add something, and so I don't. But then I'm back at square one.

So this is where AI actually comes in quite handy.

First, I stopped capturing things in Notion. It isn't built for fast capture like that. Instead, I set up a bot in Telegram that I can message and have instant shortcut to on my phone.

Second, I set up a Notion workspace, split by projects (which contain tasks). I set up all the fields I want, status, due dates, priority etc. The complexity now isn't an issue like before.

Third, I built an automation that connects Telegram to that Notion workspace, but with a LLM API connection in between.

Now, whenever I have an idea, an action or just brain dump, I send it to the Telegram bot. The system then automatically classifies and triages it to the right area in my Notion workspace and adds the right tags (including due dates if I write something like "buy milk on Thursday".

This offloads the cognitive load, letting me get things out of my head fast and not have to worry about adding it correctly into my Notion workspace.

I also get morning briefs and sprint reviews generated as well, which surfaces things for me and reminds me what I have going on.

Hey guys, considering Notion as our single Knowledge management platform. We have a LOT of content, mostly scaterred on Sharepoint and in PDFs. We would select the up to date resources and paste links and PDFs to Notion. We want to know, if Notion AI can go through PDFs and give us answers directly - e.g., we would past product guides in PDF, and we want to know specific answer on how to tackle an issue, the Notion AI would go through the PDFs, reference and give us answer (as in ServiceDesk type of situation).

Do you guys know, if Notion is capable of this?

Other I spent €82,628.98 in the first half of 2026 to run my Notion Consultancy - AMA?

basically the title - third time in a row that I'm doing this cost breakdown for transparency and to show what it can look like to scale a Notion Consultancy

(called MF Consulting - not the strongest naming game 😅)

a bit of context:

I started Notion Consulting 6 or 7 years ago now, doing it first on my own and then 2ish years ago, decided to build a company around it.

building a company = hiring people and that's mostly what's driven the cost growth

overall, 2026 is pretty much doubling expenses compared to 2025

in 2024 my expenses were around €26k - they quadrupled in 2025 and doubled now in 2026

and if you're thinking about becoming a Notion Consultant, it's def NOT what you need to spend to start this - this is the result of building a business for years and deciding to scale it

so with that out of the way, let's go into specifics:

1️⃣ People - €54,217.67 (65,5%)

by far the largest bulk

so no... doesn't look like AI is going to replace humans any time soon 😎

quite the opposite - AI is making everyone on the team A LOT more productive

building an actual company around Notion & AI Consulting means investing in people, so this is by far the biggest one.

went from spending around 4k / month to 11k / month since Q3 2025

2️⃣ Software (that is not AI) - €8,009.62 (9.7%)

I'm breaking software into two categories now - dedicated AI spent and the rest

here, we're still using more than 40 tools to run our business (things add up quickly 😅)

a few highlights:

u/Kit is by far the biggest at €3.8k - but it's also the backbone of our 40k newsletter list so money well-spent

u/Make & u/n8n are still on the list with around €1k on internal automations, but I wouldn't be surprised if they didn't show up anymore next year

noticeable mention here this year is switching from my beloved u/Loom to u/Supercut - another software graveyard courtesy of Atlassian

The core tech stack is quite simple:

  • Notion for pretty much everything around PM, KM, CRM and as the central collaboration layer for us humans & AI
  • Slack for Internal Comms & Projects Comms with Clients
  • Google Workspace for Cloud Storage & Email
  • Wordpress for the Website
  • Kit for the newsletter

everything else is kind of a supporting role

3️⃣ AI - €3,709 (4.5%)

Honestly, kind of surprised that I only spent close to 4k on AI tools

this currently involves...

- 4 claude max plans (1.5k year-to-date)

- u/Circleback as our go-to note-taker (1k)

- OpenAI making a comeback thanks to codex and first 5.5, now 5.6 as my daily driver

plus a bunch of api credits across ElevenLabs, Notion AI, Cursor and the other usual suspects.

interesting observations: barely any AI wrapper tools - arguably only Circleback & Notion as non-model providers

4️⃣ Courses & Learning €4,150 (5.0%)

going back up again - it's an interesting time, so there's a lot to be said to invest in education & training 😎

very happy to report that this time, there isn't any "bought but never took" course purchase (looked very different in 2024)
