I've searched the key words I can think of and can't find any posts on this. I just started my own business a couple of months ago. I've had the QBO for accounting firms for about 6 weeks, and have accessed two clients as well as keeping my firm books in there.

Suddenly yesterday I got "access is denied" at the top of the page when I tried to log in. I called support, waited, then received an email to reset my password. At the same time, another email said it was all fixed and I could log in. Access is denied is still showing at the log in screen, and when I click the password reset button I get the same thing.

I'm now on with the highest tier of support after one hour and 50 minutes. They say there was a security issue and they can't help me. Like they are completely terminating my access to my entire log in. They won't say why and so far have no advice. I've been on hold for most of the almost 2 hours I've been on the phone with them.

Any advice? My company is a legitimate LLC registered with my state and the IRS (FEIN number). I've never done a single illegal thing in my life so no record. I'm devastated at the thought that this can derail my new business so quickly.

I'm curious what methods other business owners and bookkeepers use. Do you rely on bank feeds, CSV imports, third-party apps, or another workflow? I'd love to hear what's worked best for you.

Hello. I signed up through the quickbooks website for training , and all the videos are so small for some reason . I'm using IPhone , Firefox and safari are both the same thing . Does any body have the same experience in the past?
I want to use it on my phone while doing my security job.

my QUICKBOOKS kept sending “please review us” notifications. I finally got tired of all the shit updates. I was like “f” it. they won’t care but I am going to be raf so let’s do this.

I literally told them their product was going shit. the changes weren’t better, they were worse. I told them the best version they had was around 2010 but only has gotten worse since then.

the operator kept saying “this call is being recorded and audited.” (still not sure if that was a threat.) I told him “awesome! that’s good.”

I also told him like three different time to make sure to visit r/quickbooks because there is ALOT OF criticism on this sub!

hopefully they will visit this sub lol.

anyway. that was my experience. I dont know if any of u will like/dislike this post but at the very least, it seems like someone is paying attention. it might not hurt to review and tell them how everything in the software is going to shit in the updates. maybe enough of us screaming the same thing will finally get results.. 🤷‍♀️

Hey everyone, I work closely with SageNext, and we are looking to gather feedback from active CPAs, bookkeepers, and accounting firms who are currently running QuickBooks Enterprise locally or looking for a host. We’re opening up 3 months of 100% free cloud hosting for a few users/firms who want to test out a dedicated remote desktop setup.

I just got a client who uses QBO and BuilderTrend. The previous bookkeeper showed me how they match receipts in BT with QBO - basically create a “bill” and it creates a match on the QBO bank transaction. I did that one day and everything was fine. I went back to do more work a week later and nothing creates a match.

I have worked with QB desktop for decades but never with QBO. I’m not sure what I’m doing wrong.

For those who have used both Wave and QuickBooks for invoicing, what has your experience been? I'm trying to decide which platform is the better fit for a small business. I'd love to hear about the pros and cons of each, especially when it comes to invoice customization, recurring invoices, online payments, payment reminders, reporting, ease of use, and overall value for money. If you've switched from one to the other, what influenced your decision?

I'm new to QuickBooks online and need some help. My company issues loans that we book as a loans receivable asset account. I would like to issue an invoice to the borrower for upcoming payments so that I can track aging receivables for past due payments.

When I try to create a product or service for the loan so I could book it on an invoice QBO doesn't let me assign it to an asset account, only to an income account.

The loan repayments are not income so I'm confused on how to properly book the invoice.

Please help.

A few months ago, I lost my dog. In the quiet moments after saying goodbye, one thought kept looping in my head: I spent way too many evenings glued to my laptop doing accounting work — receipts, journal entries, spreadsheets — when I could have spent those hours right next to them.

I’m an accounting student at the University of Suwon in South Korea. While studying IFRS and watching professionals in the field, I noticed how many late nights were spent chasing clients for paper receipts and manually typing data into spreadsheets. It made me wonder if there was a better way to save accountants from drowning in repetitive admin tasks.

To try and address this, I started building a small side project: an automated bookkeeping tool designed to streamline receipt handling.

Here is the general approach I took:

• Clients upload receipts directly to a simple dashboard (so accountants don't have to constantly chase them down).
• It uses Google Vertex AI to extract data, process receipts, and suggest IFRS-compliant journal entries automatically.
• Data privacy was a priority, so processing is kept strictly isolated on Vertex AI without leaking client data.

I didn't build this as a commercial product to pitch — it started purely out of a personal reflection on how valuable our time actually is, and wanting to eliminate unnecessary grunt work.

Since I'm still refining it, I’d really love to get some honest feedback from accountants, bookkeepers, or fellow students here:

1. How do you currently handle client receipt collection and data entry in your workflow?
2. What are your biggest reservations or privacy concerns when it comes to using AI tools for client financial data?
3. Are there specific edge cases in journalizing receipts that AI usually struggles with in your experience?

I am curious what people are doing to speed up the creation of reports in QBO?

I have a set of reports I create for each new client. As many of you are probably aware in the 'classic' report you could copy the URL between clients and most of the time the report format would be copied to the new client.

From my testing this does not seem to work with the 'Modern' reports. Has anyone found a way to speed up the creation of 'Modern' reports in QBO or copy the format between files?

This will be so time consuming to recreate the reports in QBO.

I've been wondering whether it's really worth making the switch. Did QuickBooks save you time, reduce errors, or make reporting easier? Was there a learning curve, and if so, how long did it take before you felt comfortable? I'd love to hear about your experience and whether you'd recommend it.

I started using Wave for my personal stuff (banks, cc, etc) and it works pretty ok. Since my business is just me, a sole employee for an S Corp, I thought maybe Wave would work for it. Initial research says possibly. It also does auto tax payments (which I don't like) but it's also a whole lot cheaper and as API access if I need to create more detailed reports.

I wish I could run it side by side for a couple months in some sort of "dummy" mode where it doesn't really do things, but shows what would have happened.

I got an email out of the blue this morning from a Janelle Bailey from Intuit, a Business Development Representative. Moments later my phone rang. It was her, and she started with a pitch to upsell me on something.

I interrupted her partway through and started in on how much I hate Intuit, and how much of a colossal pile of shit QBO is. She was very cool headed and cordial, and even interrupted me to ask if she could record the conversation to share with the higher ups. I said, “Please do, and I wish you’d asked me that when I first started my rant.”

She asked me what was my biggest complaint. I told her that Intuit is an awful company that extorts people every month with a product that used to be simple, elegant and “intuitive”, but is now so bastardized and full of bullshit features that nobody needs or wants that it’s just another SHITTY product now, produced by a company that cares zero about their customers, and is about to raise their subscription rates, AGAIN, with no added value.

And, I said that I will never call customer service again, because there isn’t any; that the last five or six people I engaged only vaguely knew the product, and they knew even less English.

I also told her that if Intuit cares at all about their reputation, they’d better get on some damage control fast, because their reputation’s already in the toilet, and that Reddit is blowing up about it, and that I’m doing my part in telling the world how much QBO and Intuit SUCKS.

I’ll give Janelle credit for her calm and professional demeanor, but she sounded “surrendered to what is”.

Still, it sure felt good to voice some seething frustration to a higher up at Intuit, and I held nothing back in doing so.

We use QuickBooks Online for bookkeeping, but the cost of e-filing 1099s through QuickBooks adds up pretty quickly. I'm looking for a more affordable option that still works well with QuickBooks. I came across eFileMyForms, but I haven't used it yet.

Has anyone here switched to another service? I'd love to hear what you're using and whether it's been a good experience.

Long story short, QBO told me to report and pay 2nd quarter MN PFML. I did. The next day QBO and MN PFML established a connection and set up to automatically report and pay.

QBO told me tough shit, they can't stop it.

Contacted MN PFML and they said update my manual entry to zeros. I did.

Today I get a letter from MN PFML saying they didn't accept my edit and to tell QBO that it's already been done.

I'm so done with both QBO and the scam that is MN PFML. It's already underwater by 10s of millions.. who'da thunk.

Our small services firm has used Freshbooks for many years and QBO for financial management.

We process about 25 recurring monthly invoices and 15-20 one-offs a month.

I’m finally looking into switching our invoicing to QBO as well and it seems to have all the features we need.

Primarily:
- Online ACH and CC payments
- Recurring invoices
- Recurring charges to saved CCs
- Reminders via email on due dates

Any one have any words of wisdom or “gotchas” switching over to using QBO for invoicing?

Ive been using quickbooks daily for about six months but have used it at several jobs years ago. For the most part i think its pretty eaay to learn, but credit card payments still confuse me. Consider this...I get the credit card statement and it needs to be recorded and paid. Rather than waiting until the credit card account is reconciled, i sometimes will pay it it first and reconcile the account later. When i finish the recon later, qb will create a bill to be paid later, which i believe, moves the credit balance from the credit card account to accounts payable. You can also simply do nothing and the balance remains in the credit account. If i create a bill for payment, how do i associate the payment i made earlier with the bill i created when i completed the rec? I typically dont record the payment until it appears in the bank feeds. It appears in both the feed for the cash account and the feed for the credit card account . Its confusing to me and im wondering if there is a correct way i should be handling it. Thanks anyone.

• Looking back, what do you wish you'd focused on first to learn faster?

Our company software is synced to QBO and so is our bank feed. So typically when a customer pays us through our software, our merchant then deposits the amount into our bank (mostly in batches every few days), all I have to do is match the deposit with the customer. We get 1 monthly withdraw from our merchant and it's categorized as an expense.

Our most recent merchant bill did not match the amount that was deducted from our bank. When I checked it was because they had included a customers payment in that total. So our bill was say $800, the customers payment was $200, our merchant took $600. I'm not sure how I tell quickbooks that actually $800 was fees and how to get the customers payment out of undeposited funds.

I have the same issue with one more bank transaction. It's entered in QBO as a recurring bill from our corporate office. This months withdraw doesn't match. They just started this thing where they send us a customer, once the job is completed they keep 20% and we keep 80%. They just credited us for it on our monthly bill so it doesn't match. I was told to recieve it in our system as a check but again I'm not sure how to clear that customers payment out of undeposited funds and show that bill as paid. So for example corp bill is $4,000, Customer job was $600 (Corp keeps $120, we keep $480 of customer job) Total corp deducted is $3,640.

I've had to use a three level class to categorise income (income source -> venue -> activity). I would really have liked to use location for the second level, but that's only at a top level transaction level in QBO, and I could have multiple on one invoice (so it needs to be at the line level).

I've been looking at the small number of standard reports that use classes e.g. P&L by class. They aren't enough for my needs, and they don't allow you to use a hierarchy e.g. subanalyse to a particular level.

Has anyone used these reports, of a custom one?

I had a similar issue with projects. I wasn't able to get a good report to view project profitability easily. The new reports aren't reliable. I built something custom for this. I may have to do the same for classes.

I can understand that QBO isn't a generic reporting tool, but I would have expected a P&L that allowed me to split and filter by class.

It feels like QBO needs more dimensions at the line level. The old ERPs had more freedom in their COA. It feels like QBO needs a bit of that.

I was recently hired to keep the QuickBooks Online textbook up to date for my publisher. I understand the online version updates frequently and without notifying users, which makes it challenging to find out about the updates.
