Hubspot has become too expensive for our business

We run a simple software business providing high-intent leads to our clients. We use HubSpot to manage our clients, but looking at our cost, it’s becoming harder and harder to justify using this tool.

Everything is now a paid upgrade. You pay them for license, and they try to sell you more stuff. It’s like the first payment was just a ticket to getting more bills!

Have more contacts? Send quotes from the CRM? Another payment. Not to mention the ridiculous commission they charge. It also seems to have gotten worse with every change/update they do.

I honestly don’t think Hubspot cares about small businesses like us. Their yearly contract is already expensive, and the rates just increase year after year.

Anyone else feel this way? I think we’re gonna start looking for alternatives once our contract ends.

AEO prompt limit

Upvotes

Setting up AEO for a client, where I oversee ~10 brands. Is the 50 prompt limit overall, or does that count reset by each brand? At this point, I'm not sure if all brands will be needing set up, but it'll be good to keep in mind. (Plus, I've kept this one close to the vest and haven't mentioned the feature to our users, who are laser-focused on their tasks and haven't explored AEO yet, and I know when I bring it up later this week the interest level is going to be high).

Any helpful tips RE: prompts & allotment of limits is so appreciated in advance!

What I learned building 20 smart properties in Breeze this week

Three hours, twenty smart properties, built the regular way, hand-written prompts pulling from company activity to enrich records automatically. Tools used, current stack, that kind of thing.

Checked each one as it was built, not after. Opened it up, looked at what source the answer actually came from, not just whether a value populated.

Good thing I did. Most of the problems were in properties sourced from transcripts and activities specifically. A rep name-drops a competitor's stack on a call, or an outbound email uses another customer as a proof point, and the model reads that mention and quietly assigns it to the company being enriched. Association isn't attribution. The activity being on the record doesn't mean the content is about that company.

Tried to fix the prompts myself first. Didn't hold. Tried it with Claude too. Same result.

What actually worked was going through Breeze's assistant one prompt at a time. Not one fix, twenty separate passes, since what each property needed to capture wasn't the same. Same underlying logic every time, different ask. Took a while, but got every single one to only pull from the right sources.

None of this was live. Nothing populated on a real record before it was caught, since it was all still in testing.

Worth saying plainly: an empty field tells you what you don't know. A wrong one tells you the wrong thing with total confidence, which is worse for anyone downstream trusting the field.

If you're building smart properties on activity-based sources, transcripts especially, check the source before you check the output. I'll drop the prompt structure that ended up working in the comments if anyone wants it.

Is anyone else experiencing HubSpot emails going to spam?

We have been Hubspot customers for years. However recently we have been having a lot of problems with inbox deliverability. We've had loads of back and forth with their technical support team and they are trying to blame our domain reputation, however nothing on our end has changed, eg same email subject, copy, images, customer type, etc.

We ran a test last week to review inbox placement, we sent an identical email from MailGun and from HubSpot. MailGun had a 94% inbox placement result with only 0.9% going to spam. HubSpot had a 47.7% inbox placement and 44.1% spam. HubSpot was also on 7 blocklists and is marked as spam in Google. I think it's fair to say the problem here is related to HubSpot and not our domain reputation.

Is anyone else dealing with this? If so how did you solve it? We're in a 2 year contract but I'm considering breaking it and moving to another tool because this is killing our email deliverability and impacting revenue.

Question How much time are you actually losing to CRM cleanup before every forecast?

Every month before our forecast review it’s the same ritual: pull the pipeline report, don’t trust it, spend half a day fixing the same handful of things before anyone senior looks at it. Stale deals, missing close dates, wrong stages, the usual

the part that gets me is it’s never a surprise. Same issues every single cycle, and I know I’m not the only one keeping a separate spreadsheet that I trust more than the actual HubSpot report, which kind of defeats the point of paying for the CRM.

So for the people running this every month: when you rebuild the numbers by hand before a forecast review, how long does it actually eat? And has anyone’s leadership ever gotten to the point of trusting the CRM number straight instead of the rebuild?

Trying to figure out if this is just the cost of doing business or if some teams have actually cracked it

Anyone using HubSpot's AI tools to actually improve response timing in their sequences?

Been playing around with timing in HubSpot sequences and noticed how much send time actually moves the needle on open rates. Not just the obvious stuff like avoiding Monday mornings, but figuring out when a specific contact type is actually active based on their CRM history.

The AI features keep getting pushed in updates but I'm curious how people are using them past the surface level. The predictive send time feature specifically: does it pull from individual contact behavior or is it more of a broad average? I set it up for a few sequences and results were kind of all over the place, which made me wonder if you need a bigger sample size before it becomes useful.

Also wondering if anyone has connected this to deal stage timing. The right message at the wrong point in the buying cycle is basically wasted, and HubSpot has enough data in there that it feels like it should be smarter about this by now.

Curious if anyone has gotten this working in a way that feels less like guesswork. The tools are there but the setup logic isn't always obvious from the docs.

The biggest mistake HubSpot consultants make isn’t technical. It’s communication

You can know every workflow, every property, every automation inside HubSpot.
You can build the cleanest CRM architecture anyone has ever seen.
None of that matters if your client doesn’t understand why it matters.
Most clients don’t care about:
Workflows
Custom properties
Associations
Complex automation logic
They care about outcomes.
Instead of saying:
“I built an automated lifecycle workflow with custom properties.”
Say:
“Your team won’t have to manually follow up anymore. HubSpot will remind the right person automatically.”
Same solution.
Completely different impact.
I’ve learned that clients don’t buy automation.
They buy:
Time saved
Fewer mistakes
More revenue
Better visibility
Peace of mind
The more technical you become, the more important it is to simplify your language.
If a client can explain your solution to their CEO after one meeting, you’ve done your job well.

Urgent: I need a (HubSpot) adult ASAP for help.

I need to meet with a HubSpot power user to help me fix issues/make sense of my portal.

If you are a super excellent, total HubSpot Geek who has a couple hours today (July 20 in North America time) or tomorrow (July 21) before 1pm EST, DM me. Doesn’t matter where in the world you are, as long as you can meet me.

The issue:

I came back from an extended leave at the company and the portal is a mess. My company has a major event this weekend (July 25-26) and we are nowhere near ready.

Bonus points if you have experience working in B2C virtual or in-person events-based environments, use Marketing Events and rely on third party payment processors (not HubSpot payments).

I was very up to speed with HubSpot until I went on leave and now a LOT is different, which is fine but the portal is a mess. The people who took over meant well but they let things get out of control and now….

Integrations Lead email parsing from the inbox - is this a real pain point for sales teams?

Disclaimer - I built a HubSpot app, and I looking to validate its use case.

The pain point I'm trying to solve:
Certain types of sales teams receive email based leads from syndicated listing sites, examples being car dealers and realtors (that I know of). These emails come into the sales inbox in a bunch of different formats and usually all get associated to noreply@listingsite. Someone has to manually enter the leads into the CRM to allow for routing, etc.

Is this a real pain point for sales teams?

I work at an agency, and I've worked with only a couple of this type of sales teams. I'm mostly a dev, so this use case was an itch in my brain I had to solve. (I read the emails, parse them, and create contact and/or lead records - very simple in idea, pita when working with the conversations api.) Now that I've solved this very narrow use case, I'm trying to determine - do I have an actual product that people would want, or should this rot in my GitHub like all my other side projects?

I figured I'd ask were actual users are and not my agency/dev bubble.

Any HubSpot Messaging Providers That Actually Support Group MMS?

Looking for a HubSpot messaging provider that supports true group MMS (3+ participants), not just 1-to-1 SMS.

Ideally, the conversation would be associated to all participants in HubSpot the same way an email with multiple recipients is logged to multiple contact records, except for MMS/group messaging.

Our support and sales teams regularly text multiple contacts from the same customer in a single conversation. We need it to work like iPhone Messages or Google Messages, where everyone is in the same thread and replies go to the group.

We've tested Salesmsg and it failed miserably.

Bonus points if the solution also supports RCS or has it on the roadmap.

Has anyone found a provider that actually does this well in HubSpot? Or is this fundamentally a HubSpot limitation?

trying to configure deal board cards

Hi all, I'm Beate. I co-founded an integration company called Rapidi that connects HubSpot with ERPs and other backend systems, and I've been in this space since 2006. Over the years I've heard (and lived through) some genuinely wild migration and integration stories, so figured this sub was the right place to go fishing for more.

You know the setup: leadership wants a clean cutover into HubSpot, the date's already locked in, and somewhere deep down everyone knows the data isn't quite ready. Then go-live hits and you've got thousands of duplicate contacts, deal stages that don't map right, or a sync to your ERP that quietly stops working because a field got renamed on the other end.

It happens more often than people admit. So, tell me: what actually went wrong for you? Was it a data migration, a broken integration, or something else entirely? And if you got a redo, what would you change?

Aircall vs Dialpad for Hubspot?

Hi all - title says it all. This is who we've landed on. Deepest, most frictionlesss and on-going investment in integration development with hubspot is our primary.

I care most about this than the current offering Ai assisted transcribe, ai assisted next steps/ follow up type features will probably be a commodity of an offering in 6 months for tech forward voip services.

So mainly looking at who's business models core competency is quality Voip services and deep, continuous integration with HS.

We are b2b in dental industry and this will primarily be for our sales team of 5-10 who live in hubspot. 5 of these team members are remote FYI.

Question Built a HubSpot app solo, got through technical review, now I need 3 real installs and I feel a bit stuck

So I got the marketplace feedback email today. Technical review passed. Listing is fine. But HubSpot wants 3 active installs from real production accounts before they approve you. My test portals don’t count. Fair enough, but also: chicken and egg.

The app watches renewal dates across your deals, line items and quotes, and drops one task when a renewal is at risk. No dashboard, no health scores.

Here’s my honest ask. I need a few people with a paid HubSpot portal who are willing to install it and let it run. Install takes 2 minutes, there’s a free scan that shows your renewal exposure right away. You will see a warning that the app isn’t listed in the marketplace yet. That’s literally the thing I’m trying to fix..

First 5 people get a full year free on the paid plan. No card, no catch. I mostly want feedback from people who actually work with renewals.
