When in the pre-seed or seed stages, founders often either completely neglect the idea of a CRM or overly invest in a more sophisticated system than they actually need.

Ultimately, neither approach is effective, with each creating its own issues.

Skipping a CRM altogether typically works fine right in the beginning, though it has its limits. When your organization only has a couple of founders and twenty contacts, a spreadsheet is genuinely adequate. Add a third member, and soon the knowledge that was previously saved in emails begins to fragment. It’s not long before follow-ups are missed and good leads are neglected, simply because no one knew they were responsible for contacting the lead.

The problems related to investing in an overly complex system are more difficult to identify. Founders often pick a system based on their Series A expectations, which may include structured pipelines, a high degree of automation, comprehensive reporting, etc. They typically invest a significant amount of time and money customizing a system that the team will ultimately never use. At the end of the day, the CRM remains empty, and the spreadsheets continue to be the team’s go-to.

At the seed stage, what works best is simple but effective. The right tool is the one that your team will open every day without prompting. Fast setup, seamless integration with your email, a clean mobile interface, and transparent pricing are a must.

What you need to focus on most at this stage is visibility (not automation or forecasting). The team should have a unified view of the contact history and the next steps.

Regardless of the CRM you choose, bear in mind that the data you collect in it will have genuine value in the future. Contact records, deal history, activity logs, etc., all stay with you when you eventually upgrade as you scale. Choosing something that allows for clean and smooth exports is key.

I work in influencer marketing and for a while we've been tracking our campaigns and partnerships in airtable, but I think we are starting to outgrow it. So, I'm lookin for the best CRMs for managing multiple influencer campaigns. The problem is a lot of our leads come from instagram and either stay in dms or eventually move over to whatsapp, email or messeger. Tho, most don't make it to email to track with most CRMs.

If your customer chats have moved to WhatsApp and it's getting messy as you grow, you're not alone. I build a WhatsApp CRM called Kredoo, so I've watched a lot of small teams hit the same walls. Sharing the patterns so you can dodge them, whether you use a tool like mine or not.

1. "Automation" tools don't actually save your conversations. Things like Zapier are built to do an action when a message arrives. They don't quietly save the full back-and-forth against each customer. You think everything's logged, then later find half the conversation is missing. Rough when a customer follows up and nobody knows what was said.

2. Ask any tool one question: does it log OUR replies too? Almost everything saves the customer's incoming message. The real test is whether your team's outgoing replies land in the same place automatically. A lot of tools quietly fail this, and you don't notice until you need the history.

3. Whoever picks up the chat should see the whole history first. The biggest time-sink is your team switching between apps and asking the customer to repeat themselves. If everything lives on one customer record, anyone can jump in and sound like they've been there the whole time.

4. "Sent" doesn't mean "delivered." WhatsApp can mark a message sent and still not deliver it. If it matters, only "delivered" or "read" means it actually landed. Worth knowing before you assume a customer ghosted you.

5. You can't message people whenever you want. Outside a 24-hour window after a customer's last message, WhatsApp only lets you send pre-approved templates. Teams that don't know this burn hours wondering why their messages silently don't go out.
