I built HealthOS after getting diagnosed with Asthma. And honestly, it is one of the best things I ever did. Not only for me, but for the others who chose to trust it as well.

I will be explaining the structure behind it and how it works.

Before HealthOS, I was managing everything the way most people probably are, a notes app for medications, a calendar with no context attached, and bills I kept meaning to organize but never did. None of it talked to each other. Every appointment started with me trying to reconstruct weeks of my own body's behavior from memory, under time pressure, which is a strange thing to be bad at.

The actual problem, I realized, wasn't that I lacked discipline to track things. It was that everything I tracked existed in isolation. A symptom on its own is just a data point. It only becomes useful once you can see it next to what you ate, what medication you started recently, and what your doctor said last time. Most tools store information. They don't relate it to anything else.

So that's what I built HealthOS around.

The structure:

It's ten connected modules in Notion: Symptom Tracker, Medication & Treatment Log, Appointments & Care Team, Diagnosis & Condition Hub, Diet & Nutrition, Exercise, Mental Health, Insurance & Costs, Personal Goals, and Support Network.

The individual modules aren't the interesting part. What matters is that they reference each other through relations and rollups, so information doesn't sit isolated in one place.

A few examples of how that plays out:

The Symptom Log relates to Medications and Diet, so any symptom entry can show what was active around it, no manually cross-checking dates in your head.

The Medication database is one row per medication (not per dose), with a rollup pulling in every symptom logged while that medication was active. So instead of wondering "is this actually helping," you can filter and see it directly.

Appointments relate back to both Symptoms and Medications, so before a visit you can pull up everything since your last one instead of trying to summarize months of history in a few minutes.

Costs relate to Appointments and Medications, so totals can be filtered by condition or treatment instead of living in a shoebox or a spreadsheet nobody updates.

None of the mechanics here are exotic, it's relations and rollups, mostly. But it's the difference between a system that stores what happened and one that shows you what it means.

I also built a Pro version after realizing caregivers needed something slightly different from someone managing their own condition.

It adds a shared Patient Profile, a supplies/inventory tracker so medications or equipment don't run out unnoticed, and one consolidated daily care log, vitals, hydration, meds, activities, instead of jumping between five sections to record a single day.

A few things people who've used it have said, in their own words:

One person managing chronic migraines said the part that helped most was that updating one thing updated everything connected to it, without having to fix it manually elsewhere.

A third said it made staying on top of appointments and medications easier, alongside everything else they already had going on.

I won't pretend this fixes the illness, it doesn't, and anyone claiming a Notion template does that is lying to you. What it does is give the parts you're already tracking somewhere to actually connect, so the patterns become visible instead of guessed at.

But, before we setup the automation, here's what we need to do first to setup the automation in PDFOutput…

Who Needs This Automation?

If your business needs photos to be included inside the Notion Database such as inspection shots, property images, before and after job photos, evidence of damages etc and you regularly need to hand over that data as a clean and shareable PDF, then this automation is exactly built for your use case.

1. Notion Account

First create an account in Notion, its free to start and easy to setup. Once you create an account in Notion, follow rest of the steps mentioned below to setup other things.

2. Google Account

Second requirement is to create a Google Account. We will use Google Document to create a template that will help generate the PDFs. So create a Google Account before moving ahead.

3. PDFOutput Account

Third requirement is to setup the automation in PDFOutput, and thus we need to create an account in PDFOutput. So make sure to create an account in PDFOutput before moving ahead.

Step-by-Step: Complete Guide To Exporting Notion Database Images as PDFs Automatically

Here's the complete step-by-step guide on how to export Notion Database Images as PDFs:

Step 1: Prepare the Notion Database with Images to Export PDFs

First step is to create a Notion Database that has the rows of data with images to be exported as PDFs.

Eg: For this demonstration, I have created the following Safety Inspections Database with rows of data which has Images that will be converted to PDFs on automation.

The Safety Inspections Database has 2 connected datasources in use:

DB_Inspection Database

Following are some of the properties used:

Step 2: Prepare the Safety Inspections Template File

A template file must be created that will serve how the generated Safety Inspections PDFs will look like.

A template file can be added in one of the following 4 formats:

• Word File or
• Google Document (Recommended) or
• PDF File or
• Notion Pages

For this demo, I have created the following Safety Inspections template in a Google Document and using that I will setup the automation to generate the PDFs ahead.

This is also available as a template in PDFOutput, so this template can be used directly as well to generate the PDFs.

So before proceeding further to the next step, make sure to prepare a template file for use to generate the site inspections with images as PDFs on automation.

Notice how the Google Document template used here is marked with placeholders in the form of {{placeholder_name}}, (eg {{ReportID}}, {{Inspection Date}}, {{Department}} etc).

These placeholders will get replaced with their corresponding values from the Site Inspections Database when the automation starts to generate PDFs and thus PDFs will be generated from Notion Database rows.

Step 3: Setup PDFOutput Automation

The last step in this process is to setup the PDFOutput automation.

In this step, both the Safety Inspections Notion Database (prepared in Step 1 above) and Inspections Template (prepared in Step 2 above) will be connected.

The above guide also mentions how to use the connected datasource to generate line items of checklist findings for the Inspections Report created as well. Make sure to follow the above guide for a complete walkthrough of the process.

During automation setup, make sure to use Preview Document feature which will help preview the document generated and once you are happy with the output generated, use Setup Automation button to activate the automation.

Once the automation is activated, it becomes visible in the PDFOutput dashboard (as shown below)…

These 3 steps combined completes the process for setting up the automation.

Now its time to proceed to generate the PDFs from the Notion Database.

Step 4: Exporting PDFs from Notion Database

There are 2 ways to generate the PDFs directly from the Notion Database:

1. Use Button in Database to Create PDFs (Available for only paid users)

This method is the fastest way to generate the PDFs in Notion Database.

With this method you can generate the PDFs directly inside the Notion Database. It requires just click of a button. However this feature is available only for the users who are on a paid plan using Notion.

I have a detailed guide explaining how to generate PDFs in Notion using a button. Please refer to this guide to setup your automation using this feature.

Here's a sample meetings database which shows how the button can be clicked to generate the PDF.

2. Using GeneratePDF Property to Mark Records to Generate PDFs

This method is a slower but definitive process to generate PDFs inside the Notion Database.

Also this method is available to all types of users (free or paid users) who are looking to generate PDFs with Images, such as Site Inspections.

In order to generate the PDFs, simply mark your record as "Ready to Generate" and it will start generating the PDFs inside the Notion Database.

So once the automation is setup make sure to mark the records as "Ready to Generate" or setup a button to generate the PDFs in the Notion Database (it will work either way for your usecase).

Here's one of the sample PDFs generated with the help of the automation setup right inside the Notion Database…

This PDF generated is for the record RPT-2024-001 in the Safety Inspections Database which is shown above.

Notice how the generated PDF also has the site inspections image shown in the PDF generated as well fetched from the Photos column that was used earlier from the Site Inspections Database.

How to Generate PDFs in Batches from Notion Database

In order to generate PDFs in batches from the entire Notion Database, we will use the feature of Batch PDFs option.

Here's how to produce batches of PDFs at once from the Notion Database (see image below)…

When you click on Batch PDFs, it generates upto 100 PDFs in one go from the Notion Database.

This is a very powerful feature that allows generation of bulk PDFs for users in one go!

Key Considerations Before Exporting Images as PDFs

1. Add Image Dimensions to Image Placeholder Fields — If you use the Image Placeholder (eg: {{Photo}}), then you can add the dimensions to this placeholder such as {{Photo}}_{{40*30}} to give it length and width. Here {{40*30}} serves as the dimensions for the image to be generated.
2. Use PNG or JPEG Extension for the Images Used — While using the image make sure to use the image extension in the form of JPEG or PNG as these are supported image extensions while generating the PDFs.Note: Image file extensions such as HEIC are not supported and thus must be converted to either JPEG or PNG for use.
3. Image Size Should Be Less than 5MB in Size — Images being used must be less than 5MB in size, as any images which exceed this size will fail to generate in the PDF created.

Wrapping Up

3. PDFOutput Account — Needless to say, as we are going to setup the automation in PDFOutput, we need to also have an account in PDFOutput.

So make sure before proceeding further create an account in PDFOutput and then follow along steps mentioned below.

Here’s the complete step-by-step guide on how to batch export Notion Database Rows as PDFs:

When you click on Batch PDFs, it generates upto 100 PDFs in one go in the Notion Database at one time. This is a powerful feature to produce lot of PDFs at once if you are in need of generating bulk PDFs in one go!

Conclusion

If your team regularly drafts contracts in Notion, but finds it difficult to generate a polished and properly drafted PDF, you are not alone.

Why Notion Export Doesn't Work

Notion's native "Export to PDF" works well for casual documents, but it's not meant for generating contracts.

You will often face a lot of issues with the default Notion to PDF export which involves:

• Inconsistency in page breaks in the pages.
• Database properties don't look good when the documents are printed.
• There's no way to fill up the client names or dates or terms of the deal into a template file.

This means every contract which is generated needs to be manually cleaned up with all the issues before the contract is ready to be sent.

Thus, to be able to fix this issue there needs to be 3 things that need to work together:

1. The template that is to be used must be structured to be used to generate the contracts.
2. There must be a way to populate the data dynamically.
3. The template must be turned into a professional PDF which must be reliable to be rendered properly.

All of the above issues can be fixed using an automation tool PDFOutput which helps to generate the PDFs using Notion Database (Contracts Database) as the CRM.

In order to setup the automation for generating the contracts from Notion using PDFOutput, we need to follow the steps below:

Step 1: Build the Contracts Database in Notion

The first step before setting up the PDFOutput automation is to setup the Contracts Database in Notion.

For this demonstration, we will be using 2 databases connected to each other to capture all the details for the contracts.

1. DB_ContractsDetails — Stores all the information about the contract being made.

2. DB_ClientDetails — Stores all the information about the client for which contracts are prepared.

Here's the details of the information that will be stored in both the databases:

Contracts Details database will contain the primary information of the contracts such as:

• Contract Title
• Effective Date
• Scope of Work
• Contract Value
• Status
• Client Details etc

Client Details database will contain the information about the clients for which contracts are being prepared which includes:

• Client Name
• Contact Email
• Billing Address
• Related Contracts etc

For your use case you can modify the contracts details as per your choice and add more information as necessary.

Once the database is setup correctly its time to setup the Contracts Template to generate as PDFs.

Step 2: Setup the Contracts Template

In this step, we will prepare the Service Agreement Contracts Template which will be used to generate the contracts for us.

The template can be setup using a Google Document or a Word File or even an existing Contracts PDF File which can be used for the setup.

Note: Here we have used the placeholders inside double curly braces such as {{Contract Value}}, {{EffectiveDate}}, {{Scope of Work}} etc and created the template as such.

Once the template and the database are connected in PDFOutput and the automation is setup, the PDFs will be generated directly within the Notion Database making the automation work swiftly to generate Contracts with ease.

Step 3: Setup PDFOutput Connection

In this step, we will connect the Notion Database and the Template File in PDFOutput to start generating the Contract PDFs with ease.

Once all the steps are followed from start to end, we will be able to setup a similar automation that can generate PDFs directly inside Notion Database using the template file added, but for Contracts.

Please refer to the above guide and follow the steps but for Contracts Agreements using the above two Notion Databases (DB_ContractsDetails and DB_ClientDetails) and template file (Google Document).

• Use toggle lists across the entire page where its required required — collapsed content won't render onto a static PDF.

1. Google Drive Folder - This defines the Google Drive Folder where the generated PDFs will be saved.
2. PDF File Name - This defines the notion database column reference which will define the name of the PDF. (eg: If Meeting Title is selected, the PDFs are generated with the Meeting Title name such as Acme Cor Kickoff Call.pdf).
3. PDF Attachment Field - This defines where the generated PDFs will be saved in the Notion Database. (eg: By default all the generated PDFs will be saved in the PDFFiles column).

Once all of the above additional settings are defined it will help to produce the PDFs as per the defined settings.

Now you can add more meeting notes into the database as required and simply use the button to create a polished, shareable PDF without setting up the automation again in PDFOutput.

Tips to Make Your Meeting Notes Look More Professional

• Always use clear, descriptive headings so readers can quickly jump to the sections that matter the most.
• Prefer to add a date or version number to the page before exporting the page so that it becomes easy to identify the latest copy.
• Make sure to check the page breaks in the PDF preview to ensure that important sections or tables aren't split up awkwardly across any pages.
• Any collapsed toggle blocks must be expanded before exporting if you want the contents to appear in the PDF generated.
• Replace any embedded content (such as videos or interactive embeds) with a brief summary, since these won't be interactive in nature.
• Keep images under high resolution and large enough to remain legible and visible after exporting the document.
• If the document is a lengthy one, make sure to include the table of contents at the top of the page so as to improve the navigation of the page.
• Use consistent style of headings, spacing, and formatting throughout the page for a polished and professional look of the document.
